Order Tracking System

A roll of film travels a long way: from the counter of a photo shop, by post to the lab, through the developing machine and the scanner, and finally back as prints and as digital files. That journey was tracked on paper envelopes, in loose emails and in the heads of people who had worked there for years. Nobody could see mid-way where an order stood. OTS turns that chain into a single system: a reseller portal for the shops, a lab portal for production, and two small Windows programs that print the labels and upload the scans on the work floor.

The challenge

  • An order passes counter, post, lab and scanning station without anyone seeing the whole picture.
  • Film rolls lose their origin: a paper envelope, a handwritten twincheck number, no trail back to the customer.
  • Digital files leave as one-off transfer links, outside of the order record.
  • Every reseller wants its own branding, tariffs and sender address; the lab wants one single administration.
  • Printing labels and uploading scans happens on machines on site, while the system runs on the server.
  • Invoicing the resellers is done afterwards, by hand, from ad-hoc lists.

Our approach

  • A single order flow with fixed statuses, from created to completed, on a timeline that both reseller and lab can see.
  • Envelopes with barcode and QR, roll registration per envelope, twincheck verification and blocking production issues for rework.
  • TransferNow integration inside the record: the lab reviews the scan previews first, after which the delivery goes out fully logged.
  • A multi-tenant setup giving every reseller its own catalogue, tariffs, branding and mail sender via Microsoft 365 or Google Workspace.
  • Two paired Windows agents that bind to a workstation with a pairing code, print DYMO labels and upload scans; installers are released from the portal with SHA-256 verification.
  • Invoices built straight from the order data, with their own numbering sequence and per-reseller tariffs.
